Business Settings Overview

- Click the Business Switcher at the top-left of your screen (next to the TalleFlow logo).
- In the dropdown, find your business name.
- Click the gear icon next to that business to open Business Settings.
1. General
Update your essential business information.
🌐 Business timezone
Set your studio's IANA timezone on Business Settings > General. TalleFlow uses it when you save timed dates on projects, forms, and calendar items so wall-clock times match what you picked in the studio.
- Searchable picker – choose the city or region that matches where you work
- New businesses – timezone is saved during business setup
- Public scheduler – clients can switch a display timezone while booking; the booked time is still stored correctly for your studio

2. Members
Invite teammates, manage roles, and see who has access to this business.
- Invite members
- Change roles

- Invite from Connecteam (if Connecteam is connected under Connected Tools)
3. Branding
Customize how your business looks across TalleFlow — logos, colors, fonts, email signature, social links, and the client portal.
Main logo (square)
- Used for avatars, scheduling pages, and the client portal sidebar (next to your business name).
- Recommended: at least 512×512 px.
Secondary logo (wordmark)
- A wider logo used in emails, confirmations, and timeline PDF headers.
- Recommended: about 600×200 px (roughly 3:1).
- Accepted files: JPEG, JPG, or PNG, up to 25MB.
Brand colors
Set your Primary and Secondary colors.
- Title font — headings in the client portal
- UI & button font — buttons and interface text in the client portal
- Available fonts: Inter, Roboto, Open Sans, Lato, Montserrat, Poppins, Merriweather, and Playfair Display.
These apply to the client portal when you save. You can still override them in Customize portal.
- Click Create Signature (or Edit if you already have one)
- Add name, job title, contact details, and address
- Show or hide individual fields
- Choose font, size, and accent color
- Preview before saving
Social
Add social and website links to display across documents and client-facing pages.
- Blog
- X (Twitter)
- YouTube
- TikTok
- Other (custom link)
Client Portal
Set the public URL clients use to sign in, and customize how the portal looks.
Portal URL
- Choose a handle such as your-studio (your public portal URL uses this handle)
- Handles must be 3–63 characters, lowercase letters, numbers, and hyphens
- Only the business owner can change the URL
- You can change it up to 3 times

Go to Business Settings → Preferences.

Timeline defaults
- Whether members can edit timeline branding and PDF options
- Show business logo in new timelines by default
- Show event image in PDF exports by default
- Start each day on a new PDF page by default
5. Connected Tools
Connect external tools to enhance your workflow. This tab was previously labeled Integrations. It has three sections:
Integrations
- Google Workspace — send email from Gmail, sync Google Calendar, add Google Meet links
- Microsoft 365 — send email, sync calendar, add Teams meetings
- Zoom — add Zoom meetings when creating events
- Canva — browse and attach designs from inside projects
- SmugMug — link photo galleries to projects and share them in the portal
- Prismm — attach venue floorplans (enables the Floor Plans tab in projects)
- Photo Booth Templates / TemplatesBooth — browse photo booth templates in Inventory
- Connecteam — view your roster and invite people from Members
- Quo (OpenPhone) — send texts to contacts and project members
- Snappic — create or link events, galleries, and surveys
- QuickBooks Online — sync invoices, payments, refunds, fees, and expenses.
These integrations must be set up here before their features appear inside projects.
Some tools (for example, Simple Booth) may appear as Coming Soon.

6. Alerts & Reminders
Control when TalleFlow notifies you — and how. This tab was previously labeled Notifications.

7. AI
Turn on AI Document Generation to help create brochures, proposals, and custom documents.

- Tax information — set the global tax rate in Finance → Settings. It applies to every invoice if you turn on “apply tax” at the invoice level.

Floor plans, designs, and galleries
- Prismm unlocks Floor Plans in projects
- Canva unlocks the Canva panel in projects
- SmugMug, Snappic, and similar tools unlock galleries and event features
Emails
- Google Workspace or Microsoft 365 for sending from your connected inbox
- Email signature from Branding
- Custom sending domain under Connected Tools → Emails (if available on your plan).
Common Setup Checklist
We recommend finishing these steps in Business Settings when you first join:
- Fill in business name, contact details, and address
- Upload your main logo and secondary wordmark
- Set brand colors and portal fonts
- Create an email signature
- Add social links
- Set your client portal URL and review appearance
- Add project types, sources, and stages
- Invite team members
- Connect Google Workspace or Microsoft 365
- Connect Prismm, Canva, or other tools you use
