Connected Tools (formerly called Integrations) allow you to connect external platforms directly into TalleFlow.
These integrations help centralize communication, scheduling, designs, event planning, creative workflows, bookkeeping, and collaboration inside one connected system.
Connected Tools are configured at the business level, meaning connected platforms can be shared across your business account instead of being tied to a single user.
To manage Connected Tools, navigate to:

Business Settings → Connected Tools

āš™ļø Accessing Connected Tools

  1. Open theĀ Business SwitcherĀ from the top navigation bar
  2. Select your active business
  3. Hover over your business name
  4. Click the gear icon āš™ļø
  5. OpenĀ Connected Tools

From here, admins and permitted team members can connect, manage, or disconnect supported platforms.

    🌐 Google Workspace

Connect your Google Workspace account to streamline communication and scheduling workflows.
With Google Workspace connected, you can:

    Email

    • Send emails directly from your Google Workspace address inside TalleFlow
    • Keep communication tied to contacts and projects

    Calendar

    • Sync Google Calendar events with TalleFlow
    • Automatically push meetings created in TalleFlow to Google Calendar
    Google Meet
    • Automatically generate Google Meet links when creating meetings

Businesses can also configure sharing permissions and allow team members to connect their own accounts.

      šŸ–„ Microsoft 365

Connect your Microsoft 365 or Outlook account to manage communication and scheduling workflows inside TalleFlow.
With Microsoft 365 connected, you can:
      • send emails through Outlook
      • sync calendar events
      • create Teams meeting links for meetings and appointments
Only one primary email provider can be connected at a time.

      šŸŽ„ Zoom

Connect Zoom to streamline virtual meetings and project coordination.
      With Zoom connected, TalleFlow can:
      • automatically generate Zoom meeting links
      • include join links in calendar invites
      • connect meetings directly to projects and schedules
Businesses can also allow team members to connect their own Zoom accounts.

      šŸŽØ Canva

      With Canva connected, you can:
      • view Canva designs directly inside projects
      • connect designs to project workflows
      • organize creative assets without leaving TalleFlow

This helps creative teams centralize branding, event graphics, proposals, and client-facing visuals directly inside the CRM.

      šŸ“ø SmugMug

Connect SmugMug to bring your delivered photo galleries into the same place you manage the rest of the event.
      With SmugMug connected, you can:
      • link a SmugMug gallery to its matching TalleFlow project
      • view the linked gallery inside the project's Gallery tab
      • share the gallery with clients directly through the client portal

SmugMug connects via OAuth, and galleries must be linked to a project manually — since SmugMug doesn't tell TalleFlow which gallery belongs to which event, you choose the match yourself.

        šŸ–¼ļø Photo Booth Templates

TalleFlow integrates with Photo Booth Templates to help photo booth businesses manage overlays, welcome screens, and print layouts directly inside their workflows.
        Once activated, you can:
        • browse the Photo Booth Templates marketplace inside TalleFlow
        • search for overlays and event graphics
        • attach templates directly to projects
        • organize design options within project workspaces

        Activate Photo Booth Templates

        To enable the integration:
        1. OpenĀ Business Settings
        2. Navigate toĀ Connected Tools
        3. ActivateĀ Photo Booth Templates

        Browse Templates

        To view the full marketplace:
        1. Navigate toĀ Offerings
        2. OpenĀ Templates
From here, you can browse and search available overlays, layouts, and event graphics.

        Attach Templates to a Project

To connect templates to a project:
        1. Open aĀ Project Dashboard
        2. Navigate to theĀ DesignsĀ tab
        3. OpenĀ Templates
        4. Browse and attach templates directly to the project

Attached templates become part of the project workspace and stay connected to the event workflow.

          Client Portal Access

Once templates are attached to a project, clients can view them directly inside the client portal under the project's Designs tab.
          This allows clients to:
          • review attached template options
          • stay aligned on branding and event visuals
          • collaborate around approved designs
As TalleFlow continues evolving into a collaborative project workspace platform, project-based creative assets and visibility controls will continue expanding across the client and collaborator experience.

          šŸŽžļø TemplatesBooth

TemplatesBooth brings a separate premium library of static and animated photo booth overlays into TalleFlow — distinct from the Photo Booth Templates marketplace above.
          With TemplatesBooth connected, you can:
          • browse static and animated templates underĀ Inventory
          • attach templates to a project'sĀ DesignsĀ tab, the same way you would with Photo Booth Templates
TemplatesBooth connects using a premium API key from your TemplatesBooth account, rather than an account login.

          šŸ—ļø Prismm

If your business uses Prismm for event floorplans, TalleFlow helps keep layouts and projects connected.
          With Prismm connected, you can:
          • access floorplans and venue layouts inside the project'sĀ Floor PlansĀ tab
          • manage venue layouts alongside project details, timelines, and other planning assets
          • centralize planning assets for your team and clients so everyone is working from the same layout
          To activate Prismm:
          1. OpenĀ Business Settings
          2. Navigate toĀ Connected Tools
          3. Connect yourĀ PrismmĀ account

Once connected, the Floor Plans tab becomes available inside your projects, keeping venue layouts in the same place as your other event details instead of in a separate tool.

            šŸ‘„ Connecteam

Connect Connecteam to help coordinate staffing and team workflows inside TalleFlow.
            With Connecteam connected, businesses can:
            • view team rosters
            • streamline scheduling workflows
            • prepare staffing coordination tied to projects and events

            šŸ“± Quo (OpenPhone)

Connect OpenPhone through Quo to manage business texting workflows inside TalleFlow.
            With Quo connected, you can:
            • send text messages to contacts and project participants
            • communicate from your business phone number
            • securely manage communication credentials at the business level

            šŸ”µ Snappic

Connect Snappic to bring your photo booth experiences directly into project workflows.
            With Snappic connected, you can:
            • connect Snappic events to projects
            • attach galleries to client portals
            • centralize booth-related assets inside project workspaces

            šŸ’³ QuickBooks Online

Connect QuickBooks Online to keep your bookkeeping in sync without manual data entry.
With QuickBooks Online connected, TalleFlow pushes the following over automatically or on demand:
            • invoices
            • payments
            • refunds
            • fees
            • expenses

This is a one-way sync from TalleFlow into QuickBooks Online. After connecting, a mapping wizard walks you through matching your TalleFlow items and accounts to the right QuickBooks accounts and categories. Once mapping is complete, you can turn on automatic sync or continue syncing manually whenever you choose.

              šŸ‘¤ Member & shared connections

In addition to business-level connections, members can connect their own Gmail, Outlook, or Zoom account and choose whether to share it with the rest of the business.
On the Google Workspace, Microsoft 365, and Zoom cards, anĀ Allow members to connect their own accountĀ toggle controls whether members can do this. Accounts that members connect and share appear under theĀ Shared business connectionsĀ section at the bottom of the Integrations tab, labeled with who shared them.
Both owners and sub-account users can connect and share an account, and only the person who connected an account can change its sharing settings. Shared accounts then become selectable when sending email (theĀ From:Ā sender) and when scheduling Zoom meetings.
For full details, see "Personal & Shared Connections: Connect Your Own Gmail, Outlook, and Zoom."

              šŸ” Permissions & Access

Connected Tools are managed at the business level.
Only admins or users with the appropriate permissions can:
              • connect tools
              • disconnect tools
              • manage shared integration settings
Some integrations also support allowing team members to connect their own accounts while still remaining connected to the same business workspace.

              šŸš€ Why Connected Tools Matter

TalleFlow is designed to go beyond traditional CRM workflows.
Instead of forcing businesses to juggle disconnected platforms, Connected Tools help bring communication, scheduling, designs, assets, bookkeeping, and collaboration into one centralized workspace experience.
This helps creative businesses spend less time managing scattered workflows and more time delivering great client experiences.
