📧 What two-way email sync does

When you send email to a client from TalleFlow using a connected Gmail or Outlook account, their replies can appear back on the same thread in the CRM. Project activity and notifications update when a reply arrives.

🔁 How it works

  • Start in TalleFlow – compose and send from a project or contact email thread
  • Client replies in their inbox – the reply is matched to your existing thread
  • CRM updates – the message shows in Communications and logs project activity when the thread is linked to a project
  • Outlook parity – inbound reply tracking works for both Gmail and Outlook connected accounts
💡 Rule of thumb: Sync applies to conversations you start from TalleFlow—not your entire mailbox history.

⚠️ What is not synced yet

  • Replies sent only from Gmail or Outlook – if you answer the client directly in your inbox without using TalleFlow, that message may not mirror back to the CRM thread
  • Contact-only threads – replies on threads with no project still appear on the contact email view but do not create project activity
  • Verified domain or platform default: mail sent from your business domain default (or the platform sender) does not sync replies into TalleFlow. Choose Gmail or Outlook in From when you need sync.

🔧 Connect your inbox

  1. Go to Settings > Integrations
  2. Connect Gmail or Outlook for email send
  3. Send your next client email from the project or contact Communications > Email tab

🌐 Verified domain sends

A send-ready sender domain improves branding for projects, documents, and notices, but replies stay in the client inbox unless you sent from a connected mailbox.
