Timeline Settings, Branding, and PDF Exports

Timeline settings let you control how your timelines look, what appears in exported PDFs, and what your clients see. You can set business-wide defaults that apply to new timelines, and customize individual timelines with their own branding and layout.
Business Timeline Defaults
- Go to Business Settings > Preferences.
- Find the Timeline Preferences section.
- Set your default branding (logo, accent color, event image) and PDF options (page breaks, responsible party visibility).
- Save.
Important: Defaults are applied when a new timeline is created. Changing your business defaults later does not update timelines that already exist. If you need to update an existing timeline, edit it directly.
Restricting Timeline Edits
- Members can still add and edit timeline items (events, notes, contacts)
- Members cannot change the header, branding, or PDF layout settings
- Attempts to edit locked settings will be blocked
This is useful when you want a consistent, branded look across all timelines without team members accidentally changing it.
Timeline Settings
General Tab
- Header — Customize the text that appears at the top of your timeline. If the business has locked preferences, non-admin members will see this as read-only.
- Start each day on a new page — When enabled, exported PDFs will begin each day on a fresh page. This is especially useful for multi-day event timelines.
Branding Tab
- Logo — Upload a custom logo for this timeline.
- Accent color — Set a color that appears in the timeline design. Clearing the accent color removes it entirely rather than reverting to a default.
- Event image — Upload an image that represents the event (a venue photo, brand graphic, etc.).
- Show event image in PDF — When this toggle is on and an event image is uploaded, the image will appear in PDF exports. Removing the event image automatically turns this toggle off.
Changes in both tabs are saved together with a single Save action.
Exporting PDFs
- All timeline items (unless you have toggled "Include in export" off for specific items)
- Your branding (logo, accent color, event image if enabled)
- Responsible parties, if that option is enabled
Page breaks: If "Start each day on a new page" is turned on, each day begins on a new page. No trailing blank page is added at the end.
Responsible party filtering: You can choose whether to include responsible parties (contacts and roles assigned to timeline items) in the export. This defaults to whatever you set in your business preferences, but can be changed per export.
Client portal exports match: When a client exports a PDF from the client portal, they get the same output (including event image, page breaks, and branding) as the studio export. This means you and your client are always looking at the same document.
Unsaved Changes and Conflict Handling
- Clear and delete are guarded. If you have unsaved changes and try to clear or delete a timeline, you will see a warning. The action will not proceed until you save or discard your changes.
- PDF preview warns about unsaved changes. If you open the PDF preview while the editor has unsaved changes, you will see a notice that the preview may not reflect your latest edits.
- Concurrent edit protection. If someone else (or you in another browser tab) saves the same timeline while you are editing it, your next save will show a conflict message. The editor will reload with the latest version so you do not accidentally overwrite their changes.
