Connect TalleFlow to Zapier

The TalleFlow Zapier integration lets you connect TalleFlow to thousands of other apps. You can automatically send data between TalleFlow and your other tools when things happen in your business, like a new contact being created or a payment coming in.

What You Can Do

Triggers (start a Zap when something happens in TalleFlow)

Trigger

What starts the Zap
New ContactA new contact is added to your business
New ProjectA new project is created
Project Status ChangedA project moves to a different stage
New Payment ReceivedA payment is successfully processed
Document SignedA client signs a document
New Form SubmissionSomeone submits a contact form

Automations vs. Zapier: Zapier hook names such as New Contact and Document Signed are separate from triggers in the TalleFlow Automations builder (for example Contact Form Submitted and Client Signed Contract). See Automation trigger types in the builder in the Help Center.

All triggers fire instantly (they use webhooks, not polling), so your Zaps run within seconds of the event happening in TalleFlow.

Actions (do something in TalleFlow from a Zap)

Action

What the Zap does
Create ContactAdds a new contact to your business
Create ProjectCreates a new project
Create TaskCreates a task inside a project
Searches (look up existing data)

Search

What it finds

Find ContactSearches for an existing contact
Find ProjectSearches for an existing project

How to Connect

  1. In Zapier, search for TalleFlow when adding a new app connection.
  2. Click Connect and sign in to your TalleFlow account.
  3. Authorize the connection. Zapier will request access to your contacts, projects, payments, documents, and forms.
  4. Once connected, your connection label will show your business name (or your user name or email if no business name is set).

You can connect multiple TalleFlow accounts if you manage more than one business. Each connection is labeled so you can tell them apart.

    Building Your First Zap

    1. Choose a TalleFlow trigger (for example, "New Form Submission").
    2. Test the trigger to make sure it pulls in sample data.
    3. Add an action from another app (for example, add a row to a Google Sheet).
    4. Map the TalleFlow fields to the fields in your other app.
    5. Turn on the Zap.
      Common Use Cases
      • New lead to CRM: When a form is submitted in TalleFlow, create a record in your CRM.
      • Payment notification: When a payment is received, send a Slack message to your team.
      • Project tracking: When a project status changes, update a row in a spreadsheet.
      • Contact sync: When a new contact is created in TalleFlow, add them to your email marketing list.

        What Is Not Included Yet

The current integration covers core client-flow workflows. The following are not available yet:
        • Update or delete actions (you can create, but not edit or remove)
        • Meeting, timeline, or invoice triggers
        • Filtering triggers by specific project types or tags
These may be added in future updates.
        Troubleshooting

"Duplicate contact" error when creating a contact

This means a contact with the same email already exists in your TalleFlow business. Zapier will show a conflict error. Use the "Find Contact" search step first to check if the contact exists before creating.

Connection fails or shows an error

Make sure you are signing in with an account that has owner or admin access to the TalleFlow business you want to connect.

        Trigger is not firing

Check that your Zap is turned on and that the event is actually happening in TalleFlow. Triggers only fire for events that occur after the Zap is enabled.

"Forbidden" or "Not Found" errors on actions

This usually means the connected account does not have permission for the action, or the project/contact ID is incorrect. Double-check your field mappings.
